Jobs

Days Job Post Open

Number of days from the first date job was posted to the date it was "closed".

Open Job

Job post that is "Accepting new providers"

Closed Job

Job post that is not "Accepting new providers"

Filled Job

Job that has at least one placement (roster submission that was in a roster status that can be scheduled - includes active and archived).

Not Filled Job

Job that has at least one placement (roster submission that was in a roster status that can be scheduled - includes active and archived).

Job with no submissions

A Job that have never had a roster submission (no roster submissions in an active OR archived status.

Job with no open submissions

A Job with no roster submissions in an active status (not archived).

Job Submission Status

"Filled/Placed"- have active or archived submission in a placed roster status

"Open submissions, no placements" - no placements and no open submissions (but have archived submissions)

"No open submission or placements" - no  open submissions 

"No Submissions" - never had a submission to the job

Job Aging Status

New Job (<7 days old), 7-30 days old, 31-60 days old, 61-100 days old, Old Job (>100 days old)

Count of Closed and filled jobs/Total Jobs

Roster

Days to Submit

For roster submissions submitted with a job this is the days from Job Posted date to the date the provider was submitted.

Days to Place

Days from the time a roster submission is submitted to the date they land in a roster status that "can be scheduled".

Days to Onboard

Days from the time a roster submission reaches a roster status that "can be scheduled" to their first shift.

Days Job Post to First Shift

For roster submissions submitted with a job this is the days from job posted date to the provider's first shift. 

The following metrics sum to this value:

- Days to submit- if no associated job post = "", if associated job post submission date vs. job posting date

- Days to place-submission date vs date provider reached a placement status (can be scheduled roster status

-Days to onboard-placed date vs date of first shift OR today if provider is active and not scheduled for first shift yet.

Days to First shift with nameclears and presents

The follow metrics sum to this value:

- Days to submit - if no associated job post = "", if associated job post submission date vs. job posting date

- Days to nameclear - days from submit to reaching nameclear approval OR a status beyond nameclear approval OR if in nameclear approval days from submit to today

- Days to submit presentation- days from nameclear to reaching presented status OR a status beyond presented status OR if in presenting status days from presentation pending to today

- Days to approve presentation-days from presentation submission to reaching presentation approved status OR a status beyond presentation approved status OR if in presentation approval status days from presentation approval to today

- Days to onboard-placed date vs date of first shift OR today if provider is active and not scheduled for first shift yet.

Total Roster Submissions

Count of all "Submissions, not placed" and "Placements"

Roster Submission Type

Options are "Submission, not placed" (includes active and archived) and "Placement" (includes: active and archived).

Breaks down 2 roster submissions  types of "Submissions, no placed" and "Placements" into operational buckets based on active/archived and new start/non start:

Submission, Not placed

We breakdown Submissions into "Detailed Roster Submission Types":

  • Submission/Open - a provider who is not in a placed status and is NOT archived
  • Submission/Archived- a provider who is not in a placed status and is archived

Placement

A Roster submission that is active or archived and reached a "placed" roster status (aka roster status that can be scheduled .e. "Pending Privileges", "Ready to schedule"

We breakdown placements into "Detailed Roster Submission Types":

  • Placement/New Start (active) - roster submission that has an upcoming shift OR no shifts yet assigned is in a "placed roster status" (a status where they can be scheduled) AND provider is not archived
  • Placement/Active- roster submission status with at least one shift assigned in the past AND in active status (not archived)
  • Placed/Archived- roster submission status with at least one shift assigned in the past AND in archived status (not active)
  • Placed/Non-start (archived)-reached a placement status but never worked. A roster submission status in a placed roster status (can be scheduled) with no shifts scheduled and ARCHIVED.

We also breakdown placements by scheduling status:

  • Placed and Scheduled - placement that had at least one shift scheduled
  • Placed not Scheduled - placement that has no shifts scheduled

Name Cleared Submission

Roster submission was in a status that was namecleared.

Is Name Clear Submissions

Roster submission was in a nameclear approval status or namecleared status

Is Presentation Submission and Namecleared

Roster submission was in a nameclear approval status or namecleared status AND in a presentation submission OR presentation approval status

Is Presentation Submission

Roster submission was in a presentation submission OR presentation approval status

IS Presented and Placed

Roster submission was in a presentation submission OR presentation approval status AND in a placement status

% Placed (or %Submissions placed)

# of placements/ Total roster submissions

% Placed and Scheduled (or % Submissions placed and scheduled)

# of placements scheduled / Total roster submissions

So this excludes submissions that skipped all statuses and moved to ready to schedule for example.

% Non Starts

A non-start is placement that is archived AND never worked a shift. So they were archived at a roster status that can be scheduled (they were placed) but no shifts were assigned. % non starts takes the "count of non-starts"/"placements" - What % of our placements were non-starts.

Avg Eval Score

This is a value ranging from 1-5 where manager users can leave evaluations about a provider.

Internal/External Designation

If the provider's org is not the client or practice managing org they are considered "External", if not they are considered "Internal". This is meant to track agency (external) vs. internal 1099, float, locum etc.

Short Placement

A placement is considered short if the provider worked <7 shifts and roster submission is not placed/new start OR placed/non-start

Blocked Status

If provider is in "Blocked status" at org level OR the practice level for "evaluation status"provider is considered "blocked" status. This is similar to DNR (Do not return)

Evaluation Status

Is set at the practice and org level. Options are: Good Standing, Under Review, Blocked (Similar to DNR)

New Start Tracking (Privileging)

Missing Set Up

This means the roster submission (provider) has no checklist items added to track.

Current Onboarding Days

For Placed/new start roster submissions (in a placed status, not archived, and either have an upcoming shift or no shifts) we track today

Start Date Category

Options: <1 week from start, 8-14 days from start, 15-30 dats from start, 31-59 days from start, >60 days from start, No Shifts/Start Date, Not New Start, Submission, Not placed

% Start Dates Hit Goal

Count of placements that hit goal start date/# of placements with a goal start date

Scheduling

Days to Assign Claims (Claimed Shifts)

Average days from the time a shift is claimed to it getting approved and assigned to a provider.

Days Cancelled prior to shift

Date of the cancel request sent vs. shift date. For example if I cancel a shift scheduled for June 4, 2023 on March 3, 2023 I cancelled 93 days in advance.

Days to schedule in advance

Date shift assigned vs. Shift date. For example, I scheduled a shift today (March 3, 2023) for Jun 4, 2023, I scheduled 93 days in advance.

Days until Shift

Takes average shift date vs. Today. For example a shift on June 4, 2023 is 93 days until the shift.

% Shifts Filled

Count of "Assigned Shifts"/Total Shifts (open and assigned)

% Shifts Filled from Claim (engaged)

This is a metric for scheduling productivity and figuring out what % of schedule was filled with collaborative claiming process on engaged practices only: "Assigned Shifts/Claimed"/"Assigned Shifts (engaged in open shift sharing)"

% Shifts Filled from Claim (total)

This is a metric for scheduling productivity and figuring out what % of schedule was filled with collaborative claiming process: "Assigned Shifts/Claimed"/"Assigned Shifts (engaged in open shift sharing)"

% Shifts scheduled>60 days in advance

Count of assigned shifts scheduled>60 days in advance/ Assigned Shifts

% Shifts Cancelled

Total Cancelled Shifts (includes cancelled and cancel requested)/Total Assigned Shifts (includes assigned and cancelled shifts)

% Shifts Cancelled <30 days notice

Total cancelled shifts (includes cancelled and cancel requested) cancel requested with <30 days notice/total cancelled shifts

Shift Category

Options are "Assigned", "Open"

Shift Status

This is the confirmation status of the shift: New Shift, Rate/Shift Update, Cancel Request Confirmed, Approved/Locked, Cancelled, Not assigned Shift (Aka Open shift)

Shift Status-Detailed

Options: Open, Open/Claimed, Unconfirmed, Confirmed, Cancelled

Shift Confirmation Status

Unconfirmed, Confirmed (no shifts in a task state aka no shifts in new shifts, rate/shift update, cancel request), "Cancelled", "Not assigned Shift".

Claimed Status

This status designates on either an OPEN or ASSIGNED shift if it was claimed.

Assignment type

This shows the user the method of assignment. Options are "Claimed", "Manual"(assigned without claiming), "Not assigned Shift" (open shift).

Total Shifts (open and Assigned)

Count of total needed shifts it takes current open shifts + current assigned Shifts.

Assign Shifts

Count of assigned shifts that are not cancelled (this does include cancel requests).

  • Assigned Shifts-Confirmed-Count of assigned shifts that are in a confirmed state (excludes unconfirmed shifts
  • Assigned Shifts (engaged in open shift sharing)- count of assigned shifts with open shifts shared in the month
  • Assigned Shifts assigned via Claim - count of assigned shifts where shift was claimed (not manually assigned)

Open Shifts

Count of currently open shifts.

  • Open Shifts Shared - Count of open shifts shared with at least one provider on the scheduling roster
  • Open Shifts Claimed - Count of currently open shifts with at least one claimed shift by a provider on the scheduling roster

Total Assigned Shifts

Count of all assigned shifts and cancelled shifts to get to total shifts scheduled in the period.

Cancelled Shifts

Count of Shifts Fully cancelled shifts.

Total Cancelled Shifts

Count of shifts that are fully cancelled and in cancel request state.
